Why do we have a privacy policy?

We are committed to providing complete privacy for our clients.  It is important to us that we can provide you with a safe and secure experience which is why we are very committed to using client data which is set out in this policy.  We can assure you that we will not sell or share any information about you with any third parties without your full consent, or if we are required by law to do so.

We gather data from prospective clients who have initiated contact with Virtually Organised Place.

We will collect this personal data by email or telephone or an in-person consultation.  We use this information to make appointments with you, or meet with you online for a virtual appointment. Should you make a booking with us we will keep a copy of signed terms and conditions in a digital format and we will destroy the paper copy once this has been transferred digitally.

We will only use your personal data for the sole purpose of providing a service for you.  We may use the information we collect from to so that we can personalise our services which will allow us to deliver the type of products to suit you.

We will also use your information to send you invoices, consult with you regarding your initial query an d communicate with you before, during and after your booked session.

How Long do we keep your personal data for?

GDPR requires that personal data be held for a reasonable amount of time.  If we have

worked together, we will hold your personal data for 2 years after our last communication between each other, once we have not been in contact for 2 years, we view you as a ‘past client’, and as such we will dispose of all of your personal data.   Should you wish to work with Virtually Organised Place again after this you may contact us again and we will resume our working relationship and we will collect and store your data once more.

How do you safeguard my data?

All of your data is stored on a secure database which is password protected and your information is accessed through a laptop or phone which are both password protected.  Any of your data recorded on paper is transferred to a digital format and stored in a digital file that is password protected.  The original paper is shredded immediately after the digital transfer has taken place.  We use also antivirus and internet security software to assist in making our IT equipment secure.

Should any of the above storage methods be stolen, breached or hacked, we will do the following within 72hrs of discovering the incident.

  1. Contact all clients who personal data has been compromised and provide advice to protect themselves from the data breach.

  2. Notify all relevant email providers if it is a case of email hacking.

  3. Notify police if it is physical theft of Virtually Organised Place’s laptop or phone.

  4. We will report the theft, breach or hack to the Information Commissioners’ Office (ICO) they will then decide what action will be taken next will be dependent on the severity of the breach.

How do I get a copy of the information you hold on me?

Under the Data Protection Act and General Data Protection Regulation (GDPR), you have the right to request a copy of the information that Virtually Organised Place has about you on their database, you also have the right to instruct us to correct any inaccuracies.
